Free Print & Album Order Form Template (PDF)
A print and album order form is an itemized order document for prints, albums, and other physical products — line items, pricing, a production timeline, and a return policy — built to be sent and approved before a custom order goes into production.

When to use it
Use this whenever a client orders prints, a custom album, or other physical products after a session, especially for made-to-order items like albums and canvas prints that can't be resold if the order is canceled midway. Getting written approval on the exact items and price before production begins protects against disputes over what was actually ordered.
What's typically included
- Itemized order (product, size/spec, quantity, unit price, line total)
- Subtotal, tax, shipping, and grand total
- Production timeline estimate
- Payment terms (including whether payment is required before production)
- Return and reprint policy
- Approval signature
How to fill it in
- Edit the pricing table's line items to match the client's actual order — sizes, quantities, and prices — rather than leaving the example fine-art-print and album pricing in place.
- State clearly whether payment is due in full before production starts — for made-to-order items like custom albums, this protects you if a client wants to cancel partway through.
- Fill in a realistic production timeline; a vague "a few weeks" invites more check-in emails than a specific date range does.
This document involves payment terms, cancellation penalties, and image-rights/ownership language that carry real financial and legal consequences if disputed. It is a general starting point only — not legal advice — and should be reviewed by an attorney licensed in your state before use.
Frequently asked questions
Can I use this for a standard price list, or only a specific client's order?
This is built for one specific, itemized order — edit the line items each time for what that client is actually ordering, rather than treating it as a general price sheet.
Is an electronic signature enough to confirm a custom print order before I go into production?
Yes — an electronic signature under the U.S. ESIGN Act and state UETA laws is just as binding as a wet-ink one, and having written approval on the exact items and price before production is exactly what protects you if a client later disputes the order.
What if the client wants to change the order after signing?
This form doesn't include a change-order process on its own — if the order changes meaningfully, send a new version reflecting the updated items and get it signed again, rather than relying on an email thread to modify a signed order.
